This Privacy Policy describes how Davis Productions LLC
("PetRecords", "we", "us") collects,
uses, and discloses information when you use petrecords.org,
portal.petrecords.org, support.petrecords.org, any subdomains, and
related software and services (the "Service").
1. The short version
- We do not sell your personal information.
- We do not use your records, photos, or pedigrees to train third-party AI models.
- We use cookies to keep you signed in and to measure how the Service is used — that's it.
- You can export or delete your data from your account settings at any time.
2. Information we collect
2.1 Information you give us
- Account info: name, email address, phone number, password (hashed), kennel name, billing address.
- Content: dogs, litters, pedigrees, health records, photos, contracts, waitlist applicants, client records, website pages, blog posts — anything you upload or create in the Service.
- Payment info: processed by our payment processor (Stripe). We store only the last four digits and card brand for receipt and renewal purposes; we never see or store full card numbers.
- Support communications: messages you send through support tickets, email, or by phone.
2.2 Information we collect automatically
- Log data: IP address, browser, device type, pages visited, timestamps, referring URL. We use this for security, debugging, and aggregate analytics.
- Cookies: a session cookie to keep you signed in, a CSRF cookie for form security, and a preference cookie remembering your theme. We do not use third-party advertising cookies.
2.3 Information from third parties
If you sign in with a third-party identity provider, or if a microchip
registry returns metadata about a chip you look up, we receive only the
specific fields needed to complete the requested action.
3. How we use information
We use information to:
- operate, maintain, and secure the Service;
- deliver the features you ask for — record-keeping, registry listings, kennel websites, contracts, waitlists, and so on;
- process payments and send billing receipts;
- send transactional notifications (account activity, security alerts, expiring contracts, registry confirmations);
- respond to support requests;
- detect and prevent fraud, abuse, and security threats;
- improve the Service through aggregate, de-identified analytics;
- comply with legal obligations.
4. How we share information
We share information only as described below.
- Service providers: we use vetted vendors for hosting, payment processing, email delivery, SMS, error monitoring, and customer support. They access only what they need and are bound by contract to handle your information confidentially.
- Public content: if you publish a dog, litter, or kennel page, that page is visible to anyone on the internet. Microchip lookups return the kennel contact on file — never buyer information.
- Legal: we may disclose information if we are required by law, subpoena, or court order, or if we reasonably believe disclosure is necessary to protect rights, safety, or property.
- Business transfers: if we are acquired or merged, your information may transfer to the new entity, subject to this Policy.
We do not sell personal information. We do not share your
content with advertisers, data brokers, or AI training providers.
5. Your choices and rights
- Access & export: account settings include exports for your dogs, litters, clients, and contracts.
- Correction: you can edit your account information at any time.
- Deletion: you can delete individual records, or request full account deletion by emailing support@petrecords.org. We will delete your account within 30 days, subject to limited legal-retention requirements (tax records, fraud prevention).
- Marketing email: every marketing email has an unsubscribe link. Transactional email (billing, security, account changes) is part of the Service and cannot be opted out of while your account is active.
- SMS: reply STOP to any SMS to opt out.
Depending on where you live, you may have additional rights under the
GDPR, UK GDPR, CCPA/CPRA, or similar laws. To exercise any of those
rights, contact support@petrecords.org.
6. Data retention
We keep your account information for as long as your account is active.
When you delete your account, we delete or de-identify the associated
content within 30 days, except where we are required to retain certain
records (for example, billing records for tax compliance).
7. Security
We use TLS for data in transit, password hashing (bcrypt), encrypted
backups, scoped access controls, and routine security review. No system
is perfectly secure. If you discover a vulnerability, please report it
to security@petrecords.org —
we appreciate responsible disclosure.
8. Children
The Service is not intended for use by anyone under 18. We do not
knowingly collect personal information from children. If you believe
a child has provided us information, contact us and we will delete it.
9. International users
The Service is operated from the United States. If you use the Service
from elsewhere, you understand that your information will be processed
in the United States and may be subject to U.S. law.
10. Changes
We may update this Policy from time to time. If a change is material we
will give reasonable notice, typically by email or by a banner in the
Service. The "Effective" date above always reflects the current
version.
